As soon as a plan item has reached a booking status (Booking Requested, Booking Declined, or Booked), special security rules apply in Mercury to ensure the traceability of your transactions.
1. Deletion is no longer possible
Plan items that have reached this status can no longer be deleted. This is a deliberate restriction, as these items may have already been communicated externally (e.g., via email to a publisher).
- The solution: If a booked line is no longer needed, use the Cancel function instead. This marks it as inactive but keeps it available for reporting and historical records.
2. Editing is possible (Rolling Approval Process)
Unlike deletion, editing values is still permitted. If you need to make changes to a booked line (e.g., budget increase or flight date adjustment), the Rolling Approval Process applies:
- You manually reset the status of the item back to In planning.
- You make the necessary changes.
- The item goes through the approval process again (Request approval → Internal → External).
Important: Even if the status is back to "In planning", the outer colored dot (bubble) for the booking status remains. This allows you to see at any time that this item was already booked once.
Outlook on automation: Currently, resetting to "In planning" is done manually. Future Mercury updates will automate this step as soon as you change approval-relevant data.
